Running jobs

What counts in Running jobs
Dispatch board
An office view with one row or column for each named technician, where jobs are assigned and moved by time of day, by drag and drop or on a technician calendar. A screenshot, video or help article has to show it. A line that says "scheduling and dispatching", or a due date with an assignee, does not count.
Technician GPS
Office users can see where technicians are on a map, through the phone app or vehicle trackers. Built in, or sold by the vendor as an add-on, counts. Third-party trackers connected through an app marketplace are partner products and do not count.
Mobile app
A native iPhone or Android app, not a mobile website.
Text messages
Two-way texting with customers from inside the tool: the office sends a text and the customer reply lands on the same record. Built in, or sold by the vendor as an add-on, counts. One-way alerts that customers cannot answer do not.

Selling

What counts in Selling
Flat-rate price book
A library of tasks with set customer prices that technicians pick on site to build a quote or invoice. The vendor page has to say price book or flat-rate pricing. A plain product list with prices does not count. The plan shown is the lowest one with flat-rate pricing.
Tiered quote options
One quote or proposal shows two or more priced tiers side by side (vendors often say good, better, top) and the customer picks one on a phone, tablet or link. Optional add-on lines on a single price do not count.
Customer financing
Homeowner financing is offered on quotes or invoices, built in or through a named lender such as Wisetack, GoodLeap or Synchrony. Loans or cash advances to the shop itself do not count.
E-signature
The customer approves and signs a quote or agreement electronically inside the tool. A typed or drawn signature on a phone or tablet counts. Approving by email reply or signing a printed PDF does not.

Getting paid

What counts in Getting paid
Online payments
The customer pays an invoice by card or bank transfer through a link or portal, processed through the software (its own payments product or a named processor). Recording a payment by hand does not count. The published card rate is noted where there is one.
QuickBooks sync
Built-in sync with QuickBooks Online or QuickBooks Desktop. A link that works only through Zapier does not count. The notes say which edition, and the plan shown is the lowest one that includes it.
Customer portal
Customers log in, or use a saved link, to see quotes, invoices, appointments or equipment, and to pay or book. A single emailed pay link does not count.

Equipment & agreements

What counts in Equipment & agreements
Maintenance agreements
An agreement or membership record with a term and included visits, visits or reminders created from it, and recurring billing for it. Vendors call these service plans, memberships or maintenance agreements. Visit reminders or recurring invoices without an agreement record do not count.
Equipment tracking
Each installed unit at a customer site is recorded, with model, serial number, install date or warranty, and its service history can be seen. This is often documented only in help articles. Where a vendor does not say, the entry reads not confirmed, not no.
Multiple sites per customer
One customer can have several addresses (sites).

The 14 features

What HVAC software should do

These are the 14 things this site checks in software for HVAC shops. A tool has one only when the vendor's own pages show it.

Running jobs

Dispatch board

Move jobs between named technicians by time of day

What countsAn office view with one row or column for each named technician, where jobs are assigned and moved by time of day, by drag and drop or on a technician calendar. A screenshot, video or help article has to show it. A line that says "scheduling and dispatching", or a due date with an assignee, does not count.

Why it mattersOffice staff juggle emergency calls and booked jobs all day. Some tools have no board at all.

Technician GPS

See where technicians are on a map

What countsOffice users can see where technicians are on a map, through the phone app or vehicle trackers. Built in, or sold by the vendor as an add-on, counts. Third-party trackers connected through an app marketplace are partner products and do not count.

Why it mattersDispatchers send the nearest tech to an emergency call, and customers can be told when the tech is close. Some tools sell tracking as an add-on and publish no price for it.

Mobile app

Native iPhone and Android app for technicians

What countsA native iPhone or Android app, not a mobile website.

Why it mattersTechs work from the truck and the attic, where the signal can be weak. This site checks for a native app and does not test how it works offline.

Text messages

Two-way texting with customers inside the tool

What countsTwo-way texting with customers from inside the tool: the office sends a text and the customer reply lands on the same record. Built in, or sold by the vendor as an add-on, counts. One-way alerts that customers cannot answer do not.

Why it mattersCustomers confirm visits and reply to the office by text, and the thread stays with the job. Some tools send one-way alerts only, and some sell texting as a separate add-on.

Selling

Flat-rate price book

Set customer prices for common jobs, picked on site

What countsA library of tasks with set customer prices that technicians pick on site to build a quote or invoice. The vendor page has to say price book or flat-rate pricing. A plain product list with prices does not count. The plan shown is the lowest one with flat-rate pricing.

Why it mattersTechs quote at the door without doing sums, and prices stay the same from one tech to the next. Some tools offer a basic price book on every plan but flat-rate pricing only on a higher one.

Tiered quote options

Offer two or three priced options on one quote

What countsOne quote or proposal shows two or more priced tiers side by side (vendors often say good, better, top) and the customer picks one on a phone, tablet or link. Optional add-on lines on a single price do not count.

Why it mattersReplacement jobs are sold by showing choices. This is often tied to a higher plan.

Customer financing

Offer homeowners monthly payments on a quote

What countsHomeowner financing is offered on quotes or invoices, built in or through a named lender such as Wisetack, GoodLeap or Synchrony. Loans or cash advances to the shop itself do not count.

Why it mattersReplacement jobs are large. Financing puts a monthly payment next to each option.

E-signature

Customers sign quotes or agreements on screen

What countsThe customer approves and signs a quote or agreement electronically inside the tool. A typed or drawn signature on a phone or tablet counts. Approving by email reply or signing a printed PDF does not.

Why it mattersA signed quote at the kitchen table avoids a second visit. Some tools charge extra for it on lower plans.

Getting paid

Online payments

Customers pay invoices by card or bank transfer online

What countsThe customer pays an invoice by card or bank transfer through a link or portal, processed through the software (its own payments product or a named processor). Recording a payment by hand does not count. The published card rate is noted where there is one.

Why it mattersGetting paid on the day cuts chasing. Card fees add up on large HVAC invoices, so the rate and who processes the money matter.

QuickBooks sync

Built-in sync with QuickBooks Online or Desktop

What countsBuilt-in sync with QuickBooks Online or QuickBooks Desktop. A link that works only through Zapier does not count. The notes say which edition, and the plan shown is the lowest one that includes it.

Why it mattersA shop that keeps its books in QuickBooks needs to know which edition a tool syncs with. Many tools only sync with Online, so Desktop users have fewer choices.

Customer portal

Customers view quotes, invoices and visits, then pay or book

What countsCustomers log in, or use a saved link, to see quotes, invoices, appointments or equipment, and to pay or book. A single emailed pay link does not count.

Why it mattersPlan members and commercial customers can check history and pay without calling the office.

Equipment & agreements

Maintenance agreements

Plans with included visits, scheduled and billed for you

What countsAn agreement or membership record with a term and included visits, visits or reminders created from it, and recurring billing for it. Vendors call these service plans, memberships or maintenance agreements. Visit reminders or recurring invoices without an agreement record do not count.

Why it mattersTune-up plans give an HVAC shop steady income between busy seasons. Some tools lock this feature to their top plan or only offer light versions of it.

Equipment tracking

Model, serial number and history for each installed unit

What countsEach installed unit at a customer site is recorded, with model, serial number, install date or warranty, and its service history can be seen. This is often documented only in help articles. Where a vendor does not say, the entry reads not confirmed, not no.

Why it mattersHVAC history belongs to the unit, not just the person. Warranty claims, repeat failures and replacement quotes all start from the unit record.

Multiple sites per customer

One customer, several addresses

What countsOne customer can have several addresses (sites).

Why it mattersLandlords, property managers and commercial accounts have many buildings. General CRMs often lack a site record.

Questions

HVAC software questions

Every figure here is worked out from the same data as the list, which is read from the vendors' own pages.

How much does HVAC CRM software cost?

For 1 user, the cheapest plan of each of 10 tools costs $0 to $245 a month, month to month. For 5 users, 8 tools have a plan that fits, and the cheapest of each costs $50 to $299 a month.

2 plans are free (HubSpot Free CRM and Zoho CRM Free). The cheapest paid plan for 1 user is $13 (Liteo Single plan).

The list starts with free plans switched off; turn them on to see them.

Ask for a dispatch board and the list shrinks: for 5 users, 6 of those 8 still fit, at $50 to $299 a month.

Only prices confirmed on the vendor's own US page are counted. 7 of the 14 tools with a public price have at least one that is not: Housecall Pro, HubSpot, Jobber, Kickserv, Nutshell, Pipedrive and Zoho CRM. The list still shows them, marked "Price not confirmed".

Each figure is for the cheapest plan that fits, before add-ons, with ServiceM8 and Zoho FSM priced for 100 jobs a month. Change the team size, jobs a month and must-haves above to price your own shop.

Is a CRM for HVAC companies the same as HVAC management software?

A CRM keeps customers, contacts and deals. Field-service software, also called HVAC management software, runs the job too: scheduling, dispatch, quotes, invoices and payments.

This list holds 5 general CRMs (HubSpot, Liteo, Nutshell, Pipedrive and Zoho CRM) and 17 field-service tools. Dispatch board confirmed on at least one plan: none of the 5 CRMs, 8 of the 17 field-service tools.

Turn on Dispatch board in the must-haves above to see which tools fit.

Which HVAC software shows its prices?

14 of the 22 tools publish a price for at least one plan: Housecall Pro, HubSpot, Jobber, Kickserv, Liteo, Markate, Nutshell, Pipedrive, QuoteIQ, Service Fusion, ServiceM8, Tradify, Zoho CRM and Zoho FSM.

The other 8 sell by quote: BuildOps, FieldEdge, FieldPulse, ServiceTitan, ServiceTrade, simPRO, Successware and Workiz. They show no price on their pages, so this site lists them in their own group and compares what they cover.

Can I pay month to month, and is yearly cheaper?

8 of the 14 tools with a public price list a confirmed month to month price on at least one plan.

4 of them also list a lower yearly price on their cheapest paid plan, 8% to 31% below the monthly one: Liteo, Markate, Service Fusion and Zoho FSM.

The other 6 list no month to month price that is confirmed on the vendor's own US page: HubSpot, Jobber, Kickserv, Nutshell, Pipedrive and Zoho CRM.

Each price on this site is a monthly figure and says how it is billed. Billed yearly is the monthly price on a yearly plan. When a tool has no yearly price, it says month to month, and a monthly price is never shown as a yearly one.

Do I pay per user or one flat price?

It depends on the tool. Of the 51 plans with a public price, 23 charge per user, 17 charge one flat price for a set number of users, 7 include unlimited users and 4 are free.

Service Fusion includes unlimited users on every plan.

Housecall Pro, Markate and QuoteIQ sell a flat plan with some users included and a price for each extra user.

Jobber sells flat plans in packages that hold 10 and 15 users, each at one price for the whole team.

ServiceM8 and Zoho FSM charge by the jobs or appointments a shop does in a month rather than per user. Each plan holds a set number, and a busier shop pays for a bigger plan or package, or for each extra job where one is sold.

The price on each card is for the team size you set, extra users included, and for the jobs a month you set.

What do add-ons cost?

9 of the 22 tools sell at least one of the 14 features as an add-on: 18 add-ons in all.

For 13 of them the vendor publishes no price, so no total can include them. The list shows them as add-ons with no price listed: a tool with public prices drops out when you need one, and a tool sold by quote stays in its group.

The 5 add-ons with a price: BuildOps Payments+, no monthly fee; Markate Fully Branded Customer Portal, $10 a month; Markate Business phone number (virtual number), $10 a month; Nutshell Proposals & Invoices, $79 a month; Pipedrive Smart Docs, $39 a month. When you pick one of those features as a must-have, its price is added to the total.

Do these tools work with QuickBooks?

16 of the 22 tools have a built-in QuickBooks sync on at least one plan. A link that works only through Zapier does not count.

On the lowest plan: BuildOps, FieldEdge, HubSpot, Kickserv, Markate, Nutshell, Pipedrive, Service Fusion, ServiceM8, ServiceTrade, Tradify and Workiz.

Only on a higher plan: Housecall Pro, Jobber, QuoteIQ and Zoho CRM.

Not offered: Successware.

Not confirmed on the pages we read: FieldPulse, Liteo, ServiceTitan, simPRO and Zoho FSM.

Open a tool in the comparison to read what its page says about QuickBooks Online and QuickBooks Desktop.

Can any of these tools handle commercial maintenance contracts?

None of the 22 tools has all three of maintenance agreements, equipment tracking and multiple sites per customer confirmed, even on its top plan.

5 have two of the three, with the third in brackets: FieldPulse (multiple sites per customer not confirmed), Housecall Pro (equipment tracking not confirmed), Liteo (maintenance agreements not offered), Successware (multiple sites per customer not confirmed) and Workiz (multiple sites per customer not confirmed).

Pick the commercial service shop type above to rank every tool by how many of a commercial shop's needs it covers.
